Records-Retention Inventory Audit

An audit of physical records against electronic and paper logs, correcting identification and location discrepancies.

June — August 2024800+ boxes audited

Overview

I participated in a box-by-box and document-by-document audit of more than 800 mill records-retention boxes to reconcile physical contents with inventory records and shelf locations. The team checked titles, identification, names, contents, and locations, identifying unrecorded boxes, missing records or boxes, and conflicting shelf assignments. Inventory and location discrepancies were corrected, and additional employee material was filed. Unrecorded and incorrectly located boxes were the most common issues observed; a separate discrepancy count was not retained.

Engineering Approach

The audit identified unrecorded boxes, missing boxes or records, incorrect locations, and multiple boxes assigned to one shelf location. Records and locations were reconciled, and additional material from employees was filed.

Results & Current Status

More than 800 boxes were reviewed and inventory/location discrepancies corrected. Unrecorded and incorrectly located boxes were the most common issues observed; a separate discrepancy count was not retained.
